What to know before you book

Deposit and payment

A 50 percent deposit is required to hold the date and is applied to the final bill. A card stays on file. Final payment for contracted food, beverage, room rental, service fees, gratuity, and tax is due before the event starts. Checks, phone payments, and ACH are considered case by case.

Catering and the final count

On-site catering is required for groups of more than 20 guests. Final menu choices and the guest count are due 10 days before the event. If we do not receive a count, we bill the original estimate. After the count is confirmed it cannot be reduced. We will try to accommodate a larger count, which may add to the bill.

Gratuity, service fee, and tax

A 20 percent large-party gratuity and a 10 percent administrative / service fee apply to event charges. Arizona sales tax is 8.1 percent. The City of Tempe commercial rental tax is 2.3 percent and is built into the room rental. Taxes and fees can change if regulations change.

Cancellation

Cancel at least 10 days before the event. A later cancellation forfeits 50 percent of the deposit. A buyout or a specialty event may follow a different cancellation rule in its agreement.

Setup time

Contracted time includes setup, the event, and breakdown unless we agree otherwise in writing. Roadrunner Room guests may enter up to one hour early to decorate. Semi-private spaces may enter up to 30 minutes early. More setup time can be billed as extra rental.

Outside food, dessert, and alcohol

Outside food and beverages need written approval. Approved outside desserts may have a plating or service fee. We may refuse alcohol service to anyone who appears intoxicated or under 21. Alcohol may not leave the premises.

Allergies

Tell us about dietary needs while we are planning the event. We will make a reasonable effort to accommodate them. Gluten-free, dairy-free, and vegan options may be available on request.

Decorations and vendors

Centerpieces, weighted balloons, and table runners are welcome. Confetti, glitter, silly string, bubbles, feathers, other small-particle decorations, open-flame candles, tape, tacks, nails, and adhesives are not. Command strips need approval. Outside vendors need approval in advance and a certificate of insurance with at least one million dollars of general liability, naming Hundred Mile Brewing Company as an additional insured. Amplified sound has to follow house rules and local noise limits.

Weather and late arrival

Patio events go on rain or shine. We will try to move a group indoors if there is room. If there is not, cancellation fees can still apply. If a client is more than 30 minutes late without notice, we may release the space.
